Volunteer Board Secretary position - join our team to help save lives in Aotearoa

Sepsis Trust NZ is a small, purpose-driven charity dedicated to raising awareness of sepsis and improving outcomes for those affected. Entirely funded through donations, we are seeking an organised and reliable Volunteer Board Secretary to support the effective governance and administration of the Trust. 

This is an opportunity to contribute your governance and organisational skills to a cause that genuinely matters, while working flexibly as part of a committed team. 

About the role 

As our Volunteer Board Secretary, you will help ensure the Board operates effectively and meets its governance responsibilities. Working closely with the Board Chair and CEO, you will coordinate Board meetings, maintain accurate governance records and provide light administrative support to the CEO. 

Key responsibilities 

  • Work with the Board Chair and CEO to prepare meeting agendas and coordinate the Board meeting schedule 

  • Ensure Board papers are prepared, collated and available to trustees in a timely manner 

  • Attend Board meetings and prepare clear, accurate minutes 

  • Maintain the Board action register and follow up agreed actions 

  • Maintain Board records, policies and other key governance documents 

  • Support the Board Chair in developing, maintaining and monitoring the annual Board plan 

  • Assist with trustee induction and the maintenance of trustee and interest registers 

  • Support governance-related reporting, reviews and compliance activities 

  • Provide light administrative support to the CEO, as agreed 

  • Handle sensitive information with discretion and confidentiality 

What we’re looking for 

  • Strong organisational, written communication and administrative skills 

  • The ability to prepare accurate, concise minutes and maintain reliable records 

  • Excellent attention to detail and follow-through 

  • Confidence working independently and managing competing priorities 

  • Sound judgement and a high level of discretion 

  • A collaborative approach and the ability to work effectively with the Board Chair, trustees and CEO 

  • An interest in contributing to a life-saving cause 

  • Previous experience in board or committee administration, governance, executive support or a company-secretarial role would be an advantage

Time commitment 

Approximately 4–6 hours per week, including preparation for and attendance at Board meetings. The hours are flexible, although availability around scheduled meetings and key governance deadlines will be important.
